Overview

Janseva digitises the internal operations of a pharmacy: billing, inventory, stock movement, expiry monitoring, invoicing and the records that tie them together.

The work is transformation rather than product invention. These processes already existed and already worked: on paper, in spreadsheets, and in the knowledge of the people running the counter. The task was to move them into one system without disrupting the operation depending on them.

The challenge

The challenge

Pharmacy stock is not ordinary retail stock. It expires, and expiry has consequences beyond write-off. Tracking it manually means someone holding batch dates in their head or in a notebook, and noticing a problem depends on that person remembering to look.

Billing, stock and inventory records were also maintained separately, so they could disagree. Reconciling them was recurring manual work, and the answer to a simple operational question often required checking several places and trusting that all of them were current.

The approach

The approach

We modelled the operation as one connected record rather than a set of separate tools. Billing draws on the same stock data that inventory management updates, so selling an item is what moves the stock, not a second action someone has to remember afterwards.

Expiry was treated as a first-class property of stock rather than a field to be checked. That turns expiry management from something depending on a person remembering to look into something the system surfaces.

The application was built for the people already doing this work, in the sequence they already do it. A system that requires retraining the counter is a system that gets worked around.

The solution

What we delivered

A mobile application covering pharmacy billing, inventory and stock management, expiry monitoring, invoice generation and record management in a single connected workflow.

Key capabilities

Billing

Counter billing connected to the same stock record inventory management updates.

Inventory tracking

Stock levels maintained as part of daily operation rather than as a periodic count.

Stock management

Stock movement recorded through the workflows that cause it.

Expiry monitoring

Expiry tracked as a property of stock, surfaced rather than looked up.

Invoice generation

Invoices produced directly from billing activity.

Record management

Operational records kept in one place rather than across separate systems.

Outcomes
  • Manual record-keeping replaced by a single connected system
  • Billing, inventory and stock working from one shared record
  • Expiry surfaced by the system rather than tracked by memory
  • Operational records consolidated in place of separate files
